Job Description
We are seeking an organized and efficient Meetings and Events Specialist to join our team in Bloomington, United States. In this role, you will be responsible for planning, coordinating, and executing a wide range of corporate events, meetings, and conferences in a remote, hybrid, and in-person formats. The ideal candidate is a detail-oriented professional with excellent customer service skills and the ability to manage multiple projects simultaneously. These meetings and events include but are not limited to:
Employee meetings and events
U.S. and international franchisee meetings and trainings
U.S. and international IDQ team and department meetings
Other meetings as assigned
The Meetings and Events Specialist also will support:
International franchisee conventions
Supplier conferences
Events registration system
Council reporting and approvals
Other tasks as assigned
Meetings and Events Planning:
Meet with business partners to assess meeting and event needs.
Source assigned meetings and events locations.
Facilitate contracts, including negotiating terms and contract review with Director, Meetings, Events & Travel and DQ legal.
Coordinate meeting/events room layouts and set up.
Secure lodging, transportation, F&B and AV.
Create and manage registration sites and create and distribute registration reports to business partners.
Prepare signs, meeting/events agendas, handouts, name tags, directions, etc.
Set up and audit meeting/events rooms prior to occupancy.
Reconcile meeting expenses.
Collect data about meeting and events satisfaction from business partners, hotel properties and attendees.
Participate with post-event reconciliation to confirm all charges are accurate and within contractual and agreed upon terms.
Onsite support as needed.
Relationship Management:
Maintain positive relationships with DQ business partners. Clearly communicate timelines and deadlines.
Expense Reports and Invoice Processing:
Manage expense reports for meetings, events and travel, including submission of expense reports and invoice processing for the meetings, events and travel team. Review expense reports from franchisees and suppliers to ensure adoption of the travel policy.
Qualifications
Education and Qualifications:
Two to three years of experience planning meetings and events
Bachelor’s degree preferred, specializing in Hospitality/Events Management, Marketing or equivalent experience in a related field
Experience with web-based registration tools (i.e. Cvent, Stova)
Demonstrate attention-to-detail, problem solving and time-management abilities
Strong interpersonal and communications skills
Experience successfully working with business partners
Effectively manage multiple tasks simultaneously within timelines
Work under deadlines, adapting to rapidly changing circumstances
Experience working in a corporate, matrix organization is required
Travel up to 15 percent for assigned programs (local and national)
The US national base salary range for this position is $56,117- $65,937. The base salary range displayed reflects the targeted hiring range for positions across all US locations. Individual pay is determined by job-related skills, work location and relevant education or experience.

Work Environment
Most positions located out of our global headquarters in Bloomington, MN will work a hybrid work schedule where you will work 2 collaboration days a week. Additional in office time may be required to support team/project needs. Positions will be identified as “remote eligible” when consideration will be given to candidates outside of drivable distance to our Bloomington office.
